    AI Automation in Ibiza: How to Avoid Mistakes and Optimize Business Email Responses

    The Acelera Pyme Office held an event at the Centre Bit in Ibiza to show entrepreneurs and professionals how artificial intelligence can transform the daily management of their businesses, from responding to emails to organizing reservations. A simple welcome message, like the one received after attending an event or filling out a web form, can be written by a person or by AI. According to Andrés Cabrera, an automation and AI specialist with 15 years of experience, "40% of work time is spent on repetitive tasks, and today, nearly 80% of those tasks can be automated thanks to AI." Currently, AI can respond to messages, review invoices and classify them in Google Drive, manage reservations or orders, and much more. During the event organized by the Acelera Pyme Office in Ibiza, Cabrera explained to about thirty attendees how to leverage these tools to optimize processes in small and medium-sized enterprises, freelancers, and entrepreneurs. During the session, Cabrera asked attendees about their experience with automation and AI. Some mentioned tools like OpenClaw or Gemini, alternatives to ChatGPT, the popular chatbot from OpenAI. Automation involves programming AI to execute actions after certain events, such as sending an automatic message when a user first accesses a website. Cabrera emphasized that, thanks to the evolution of these technologies, automation is now more accessible and powerful, with versions that are constantly updated to fix errors. However, he warned about AI's "hallucinations," meaning errors or incorrect responses, which tend to be more frequent in free tools. Therefore, he recommended giving clear and precise instructions to reduce the margin of error and save time on routine tasks. Among the recommended tools, Cabrera mentioned Zapier, Make, and Power Automate, which operate on a paid execution basis, and other free options like Active Pieces and n8n, the latter noted for its recent development and ease of installation on computers. To make the most of automation, Cabrera explained the concept of workflow, a visual sequence of steps that connects all actions of an automation. He demonstrated live how to create a workflow from scratch with n8n, generating an event form and scheduling the automatic sending of welcome messages. He stressed that, although it may require time and practice at first, the effort translates into significant long-term savings. Cabrera also advised using paid AI to process sensitive data, such as billing, and explained that, although automation nodes only access permitted information, no system is completely immune to cyberattacks. At the end of the event, attendees, including students from the SOIB Digital Marketing course, positively evaluated the training and recognized the challenge of correctly defining prompts or instructions for AI.
